Job Description

Secretary

Role & Responsibilities:

  • Provide administrative and secretarial support to the team
  • Responsible for scheduling and attending meetings, creating agendas and taking minutes
  • Handle room booking, conference facilities, arranging appointments, travel arrangement, internal and external events
  • Prepare business correspondence, documents, presentations, statistics and business reports, etc.
  • Handle and maintain budgeting and invoicing
  • Handle telephone and email enquiries, as well as incoming and outgoing mail
  • Coordinate and maintain office documentation systems
  • Maintain and update websites and internal databases by using content management systems
  • Maintain an effective filing system including digital version
  • Responsible for stationary control and replenishment
  • Any ad hoc duties assigned by superior

 

Requirements:

  • University graduate with relevant working experience
  • At least 5 years working experience in which 3 years or above in Secretary position
  • Pleasant, outgoing and self-motivated personality; stable, efficient, organized and attentive to details
  • Good communication and interpersonal skills
  • Good in both spoken and written English & Chinese (Cantonese & Putonghua)
  • Familiar with MS Outlook, Excel, PowerPoint and Chinese Word Processing
  • Hospitality background will be an advantage but not essential
