Job Description

Administrative Assistant

  • Primarily responsible for attending to incoming external visitors - welcoming them, settling them into the correct meeting rooms and informing employees of their arrival.

  • Assist with daily office administrative management activities.

  • Frequent liaison with different lines of business within Moody's and their affiliates.

  • Organize and coordinate both internal and external meetings; including Board of Directors meetings.

  • Manage meeting room set up, ensure tidiness of premises particular the reception area and meeting facilities

  • Field incoming telephone calls, greet and attend to visitors and guests in a professional and efficient manner

  • Responsible to manage incoming and outgoing correspondence and courier services

  • Provide general assistance including copying, filing, meetings or events as directed and within required time frames

  • Supports office operational tasks and maintenance

  • Ensure adequate office supplies at all times including stationery, groceries and office consumables

  • Events coordination

  • Book and manage travel logistics in accordance with policy

  • Preparing on-boarding of new employees

  • Timely and accurate preparation and submission of expense claims

  • Any ad-hoc assignments
