Job Description

Assistant Manager


  • A high degree of independence is required on a day to day basis;

  • This position will report to the JLL Account Manager – Lease Administration and Client Corporate Services & Real Estate;

  • Primary duties and responsibilities include the following:

  • Liaise with internal and external contacts when required;

  • Collect and review client real estate documentation

  • Ensuring that all real estate data is kept current and accurate;

  • Maintain record of physical location for all lease agreements;

  • Co-ordinate abstraction of leases by JLL lease administration team, and cross-check local language (Chinese) leases;

  • Track Termination Notices for regional offices;

  • Develop a solid understanding of lease administraion database

  • Monitor critical dates and follow up with client regional offices for information / feedback on critical dates;

  • Prepare and distribute ad-hoc reports

  • Provide client Finance team with lease abstract reports on a quarterly basis;

  • Review real-estate related invoices received from client vendors

  • Ensure that the agreed procedures and process flows are adhered to strictly in accordance with guidelines;

  • Ensure that your KPI’s and any direct reports KPI’s are met;

For client rent reviews:

  • Monitor fixed and/or inflation based rent reviews, particularly in Korea & Taiwan;

  • Liaise with client offices for rent review documentation;

  • Provide rent review documentation for update onto database.

For client lease restructuring:
  • Assist client regional real estate team with lease restructuring;

  • Ensure that names of all legal entities operating out of a client location are represented on the lease document, for official receipt purposes;

  • Recording received documentation and information;

  • Track payment of deposits, advance payments and stamp duty

For Best Practice Management:

  • Maintaining standard checklists, templates, work flows and documentation for use with each client;

  • Suggest improvements in process, for example where database information can be used instead of creating ad-hoc reports.

  • Suggest improvements for account reporting, eg. Lease Calendar

  • Act as a mentor and providing training when required, for new team members.


-University graduate (Commerce, Finance or Real Estate background) and at least 5 - 7 years relevant work experience;

-Strong attention to detail;

-Excellent written and verbal communication skills in both English and Mandarin;

-Sound computer skills in Microsoft Word and Excel;

-Strong organizational and interpersonal skills;

-Positive approach to meeting client needs;

-Ability to:

-Maintain and manage accurate data;

-Prioritise work within tight operational and financial deadlines.

Highly Desirable Requirements:

-Work experience in a corporate environment or with a third party service provider;

-The ability to understand and interpret commercial contracts (eg real estate leases);

-Knowledge of accounting would be an advantage, however not essential;

-Experience using a property management/lease administration system.
