The Executive Assistant role performs diversified and broad complex administrative duties for the Regional CEO and Regional Partner.

  • Assists in designated administrative details using initiative and judgment

  • Handles queries as a processional representative of those executives

  • Acts on behalf of Regional CEO as delegate from time to time

  • Demonstrates knowledge of company policies, ERM organization, and a high level of technical skill

  • Understand Business Management complexities

  • Exhibits high level of proactivity, professionalism and efficiency on a consistent basis

This role predominantly focuses on providing Executive support to the Regional leaders with some support required into the local team. The incumbent will need to prioritise their workload and hence will need effective communication skills to ensure things get done.

It requires the incumbent to perform autonomously as well as under specific direction and agreed priorities. In doing this, the incumbent will demonstrate flexibility, adaptability, credibility and reliability and focus through day to day work changes, and shifting priorities during periods of uncertainty. Incumbent will be outcome orientated and demonstrate consistent high level of execution.

To ensure that all deadlines are met, the incumbent requires an awareness of deadlines and a sense of urgency to ensure the delivery of work. It also requires total accuracy and attention to details, often under tight time constraints.

The incumbent will need to possess high level of integrity as and will need to maintain the strictest confidentiality whist facilitating communication in the support of the Regional CEO.

The primary responsibility for the role will be to provide full support to the Regional CEO and Regional Partner. The incumbent will also be responsible for supporting the administration staff for the Hong Kong office.

  • Undertake the administrative support functions for the designated manager and general office, in accordance with ERM policies and procedures, with an emphasis on ensuring that routine administrative records management and reporting requirements are fully met

  • Provide facilities functions as may be required, including completing facilities request, interface with vendors on office supplies, catering & food orders, incoming/outgoing shipments or couriers, order miscellaneous equipment etc.

  • Shipping & receiving functions as main contact for deliveries, and tracking all incoming packages from receipt to delivery of item, properly receiving items in relevant office systems

  • Manage meeting room bookings

  • Assist Regional CEO and Regional Partner on a “as needs” basis

  • Provide efficient and effective diary management and that their time is utilised effectively

  • Email management, replying to their emails, folder management and archiving regularly

  • Organise files and paperwork for meetings, prepare presentations and reports, takes minutes/actions and distributes and follow-up

  • Organise when needed comprehensive & complex travel and accommodation arrangement

  • Prepare presentations and reports, weekly, monthly and quarterly

  • Coordinate and control meeting agenda’s for Regional CEO, Regional Partner and visiting ERM Executives

  • Organise/administer both internal and external functions, conferences and meetings

  • Support Finance and HR with operational administration on behalf of the Regional CEO and Regional Partner

  • Create a working document of processes and procedures for administrative tasks for local office, and provide thought leadership and guidance to Executive Assistant colleagues across APAC

  • Occasionally assist with the on-boarding of new Partner hires into the Regional CEO’s management team

  • Occasionally assist with coordination of HR development programs run in Hong Kong


  • Degree or above in Business Administration or related discipline

  • 8 years of experience in supporting international Senior Executives in MNCs

  • Industry experience is a plus, but not essential

  • Excellent command of spoken and written Cantonese, English and Mandarin

  • Excellent IT system literacy, especially MS Office – Outlook, Word, PowerPoint and Excel

  • Experience of working with MIS systems, e.g. GMS, is preferred

  • Ability to work effectively and accurately under pressure

  • Able to manage own workload and prioritise task

  • Ability to be pro-active and able to work autonomously under limited direction

  • Ability to deal with, and thrive in changing, face paced environment

  • A sense of urgency and flexibility, strong organisation/time management skills to handle a number of tasks at any one time
