AVP Cash and Trade Process Senior Analyst Transfer Agency

Location: APAC-HKG-Hong Kong-Hong Kong

  • The role involves day to day BAU management and oversight responsibility for the Transfer Agency Operations and will be based in Hong Kong.
  • The Transfer Agency Department is primarily responsible for the accurate maintenance of the fund and shareholder register, accurate capture and reporting of investor dealings in funds for which Citi has been appointed Transfer Agent.
  • This position is in the Transfer Agency operations unit of the Global Funds Services division and it represents a fantastic opportunity for the individual with experience in the funds industry and is looking for an opportunity to advance in a fast growing dynamic organization.
Responsibilities include but not limited to:
  • Day to day operational handling, execution & processing of all mutual fund related customer transactional activities, covering customer instructions in mutual funds to foreign exchange transaction handling;
  • Perform functions including operational handling, execution and processing of all mutual fund related customer transactional activities, covering customers’ investment instructions in mutual funds to foreign exchange transaction handling;

  • Ensure high accuracy in the operational handling of customer instructions;

  • Complete all assigned tasks in an efficient, accurate and timely manner;

  • Performs routine administration of mutual fund related activities, sundry and miscellaneous account(s) reconciliation, fund and client cash account(s) reconciliation, and any other matters arising from the day-to-day operations and administration of the unit;

  • Liaison with internal and external clients in connection with the execution and administration of mutual fund related instructions and ensure that service standards are met in accordance to agreed service agreements;

  • Communicate with internal and external clients in a professional manner at all times;

  • Maintain regular communication with supervisors and department managers on all day-to-day operational activities;

  • Follows strict compliance and adherence to internal policies, procedures and guidelines, as well as policies of the local regulatory body. Identifies controls (where required) to improve and maximize productivity within the operations unit;

  • Assist management in implementing new products and services, and ensure full compliance to internal as well as regulatory policies and guidelines;

  • Undertake projects to enhance, streamline and integrate work processes to strengthen operational performance and service standards;

  • Identifies opportunity to enhance operational productivity and efficiency, client servicing, and risk management controls so that processes are in line with best industry practices;

  • Follow tasks through to successful completion;

  • Assist management on operating expenditure management and cost savings initiatives;

  • Provide management with periodic financials and MIS reporting;

  • Manage, coach and develop team members for their individual advancement and for the benefit of the team. In so doing, foster and maintain strong team spirit and a healthy working atmosphere;

  • Review existing process and procedures with a view to identifying opportunities for improvement or re-engineering;

  • Manage client requests and ensure that such requests are dealt with in a timely manner. From time to time this will require technical specifications in the form of Business Requirements documents to be drawn up and submitted for development;

  • Manage User Acceptance testing as required;

  • Complete the annual and interim appraisal process;

  • Liaison with Compliance, Fund Auditors and Trustee (including drafting formal responses to onsite visits);

  • Assist in capacity planning and resource management to support the day to day business requirements;

  • Delivering presentation and hosting due diligence visits to existing clients on behalf of the department;

  • Assisting the Citi Product and Sales teams with new business pitches and presentations.

Qualifications

  • Graduate in Finance/accounting or equivalent;
  • Minimum 10 years transfer agency or funds administration experience with at least 5 years in a supervisory capacity;
  • Strong analytical and management skills;
  • Excellent organizational, planning and prioritization skills and experience operating within a high pressure environment;
  • Energetic leader who works well across multiple teams;
  • Proven track record in managing stakeholders;
  • Demonstrated success in managing customer relations and customers;
  • Demonstrated success dealing with senior management;
  • Proven relationship management skills;
  • Ability to network to get the ability and willingness to reach out and learn;
  • Knowledge of financial services;
  • Adaptable; capability to assimilate to different environments;
  • In depth knowledge or Transfer Agency operations and its processes;
  • Strong analytical skills so as to understand and interpret trends and data to make improvements;
  • Proven excellence in 2-3 previous assignments;

  • Financial acumen and attention to detail;
  • A proven ability to work well as the member of a team;
  • Strong numeric skills;
