Senior Assistant to Regional Unit Head, Dispersions and Resins Asia Pacific

Location: HK-Hong Kong-Hong Kong

Located in Hong Kong, BASF’s regional headquarters oversees more than 16,000 employees at about 100 sites across Asia Pacific. In addition to regional business units, Hong Kong office also houses regional functional units including Corporate Affairs, Finance and Controlling, Human Resources, Management Consulting, Procurement and Supply Chain Services.
 
Objectives of the Position
  • Reporting to the Senior Vice President, Dispersions & Resins Asia Pacific, the objective of the position is to ensure efficient day-to-day administration and operation of the Regional Business Unit (RBU), Dispersions & Resins Asia Pacific.
Job Responsibilities
  • Provide full spectrum of professional secretarial and administrative support to the Head of RBU
  • Exercise reliable personal judgment and act with tact to greet and screen visitors and calls at all levels within the organization, industry, and community
  • Communicate RBU Head’s instructions to various individuals and/or departments; provide and obtain information from other managers or external representatives and convey the feedback to RBU Head correctly and timely
  • Assist RBU Head in company policies and procedures implementation
  • Organize and maintain correspondence and records for the RBU Head; handle confidential information, files, materials to ensure information security for proper use
  • Coordinate with HR department for recruitment and general personnel affairs; prepare and distribute personnel announcement
  • Coordinates meetings, conferences, conference calls etc. by providing logistics services (e.g. venue selection, invitations, agenda, participants’ confirmations, hotel reservations), including assistance in preparing documents
  • Maintain appointment/ travel calendars and organizes business travels, including reservation of hotel accommodation, ticketing, travel document application etc.
  • Oversee and manage overall day-to-day office operations
  • Attend meetings, seminars, conferences to take notes and prepare reports
  • Work with corporate units in managing office planning projects, including office renovation, seating arrangement, IT projects etc.
  • Coordinate with FA for invoice payment, expenses reimbursement, budget consolidation and analysis
  • Allocate and regularly review secretarial and administrative resources within the RBU to ensure maximum efficiency and effectiveness
Requirements
  • Diploma or above in secretarial studies, management studies, business administration or related discipline
  • 8 years or more related experience in assisting senior executives
  • Excellent command of written and spoken English and Chinese (Cantonese & Mandarin)
  • Sound IT knowledge, highly proficient in MS PowerPoint, Word, OneNote, Excel and Share Point
  • Attentive to details, mature, team player and able to work under pressure
  • A good team player with strong communication and interpersonal skills
  • With high standard of integrity and the ability to maintain the utmost confidentiality
