Job Description

Senior Associate, Filing & Binding

Location: Hong Kong, HK

Job Summary:

Coordinate with binding vendor, administer PRC policy delivery and perform inhouse QC indexing


Job Responsibilities:

Perform policy binding issues

  • Update PRC data and provides follow up services to Operations-PRC team and users

  • Check and perform inhouse policy contract packing for special courier delivery

  • Check and follow up on exceptional report to ensure proper image capturing for policy contract printing

  • Consolidate data record and prepare reports for review and record keeping

  • Prepare and send HIAS policy Print queue to vendor for policy contract printing

  • Check courier service invoices for policy delivery

  • Perform inhouse/onsite audit for performance and compliance assessming reference


Binding vendor management

  • Monitor outsourced Policy Contracts printing, binding and delivery service level on productivity, quality and service compliance by reviewing process progress, system data and reports
  • Communicate with Binding vendors on daily basis to ensure backlog and exception contract are handle promptly
  • Identify area of improvement in daily operations of binding vendor in order to uplift vendor performance.


PRC contract follow up procedures

  • Monitor the day to day courier operations to ensure PRC Contracts are delivered to clients on time
  • Liaise with Courier Vendor to uplift existing courier service by means of data transfer platform
  • Regularly review the complaints on courier service and meeting with vendor to finalise remedy actions
  • Monitor the communication mechanism between Call Centre and PRC Team ans Operations Departments to ensure undelivered or returned contract could be arranged on time


Perform imaging issues

  • Perform inhouse QC to release the incomplete or problem images to Imaging workflow (I/W) system for user processing

  • Perform Batch Export and confirm AIDC for PIP printing


Job Requirements:

  • University/College graduate plus 4 years relevant experience OR

  • Form Five graduate with 8 years related experience

  • Working experience in life insurance company preferred

  • Strong team work skill

  • Effective communication skill
