HR Shared Services Specialist

Job Summary

Job Summary

This newly created role provides employee services in our Hong Kong Region, including but not limited to managing employee administration jobs during the employment life cycle , contract management, leave management, P-file management, visa arrangement, etc. (Particularly for on-boarding process).  Sitting in our HR Shared Service team this role will see you:
 

  • Act as a point of contact for all onboarding issues after candidates acceptance

  • Produce new employment contracts

  • Manage the on-boarding process for all new starters

  • Guide new employees on the completion of the required statutory forms for registration purposes including any registration forms, code of conduct, employee hand book, etc.

  • Data entry of new employee data into AECOM’s HRIS system

  • Complete government/company benefits enrollment

  • Manage employee leave applications and leave reporting

  • Ensure reconciliation between the e-leave system and timecard system

  • Arrange work permit applications and renewal

  • Send out contract renewals and probation completion notifications and arrange employment contract/probation completion letter accordingly

  • Manage off-boarding process for leavers

  • Assist on expanding  service scope of the Shared Service team in Hong Kong

  • Provide reports as required

 
Expectations
 

  • Ensure the timely delivery of your shared service provisions in line with set SLA’s including error free and timely production of your documentations.

  • Effectively collaborate with HRBP’s and Talent Acquisition to collate the appropriate information required and relaying progress

Requirements

Minimum Requirements

  • Bachelor degree

  • 2 - 3 years HR operations, ideally within an MNC environment

  • Excellent communications and interpersonal skills to work in a multinational environment

  • Self-motivated, detailed oriented and well organized; pleasant and positive working attitude to work in a team

  • Capable to work independently with strong sense of responsibility

  • Proficiency in MS Office (Word, Excel and PowerPoint), experience with Oracle is highly preferred

  • Good command of spoken and written Chinese and English
